How to Send a Large PDF Over WhatsApp

WhatsApp document limits in plain terms

WhatsApp allows documents up to 100 MB per file. Anything larger is rejected by the app before sending.

For most documents this is plenty of room. But scanned reports, photo heavy presentations, and multi chapter PDFs can easily cross 100 MB. Then you need to compress, split, or find another way.

Quick check before you fix anything

Look at your file size first:

• Under 25 MB: should send easily even on slow connections
• 25 to 75 MB: will send but may take a while to upload
• 75 to 100 MB: works but slow, especially on mobile data
• Over 100 MB: blocked by WhatsApp, needs to be compressed or split

If you are over 100 MB or near it, the rest of this guide applies.

Option 1: compress the file

If your PDF is mostly photos or scans, you can usually shrink it dramatically:

1. Identify or extract the source images from the PDF
2. Compress them at 75 to 85 percent quality using Compress Image
3. Rebuild the PDF with Image to PDF

A 150 MB photo PDF can drop to 25 to 40 MB this way without visible loss of quality. That is a 5x reduction in many cases.

For text heavy PDFs, compression is less effective. Skip to option 2 if your file is mostly text.

Option 2: split into smaller files

If compression alone is not enough, split the PDF into logical sections and send them separately:

1. Open the Split PDF tool
2. Identify natural breakpoints (chapters, sections, document types)
3. Split into two or three smaller files
4. Send them in order with clear labels in your message ("Part 1 of 3", "Part 2 of 3", etc.)

Recipients often prefer this anyway because each file opens faster on their phone.

Option 3: send a download link

For files that are genuinely too large to compress or that you would have to split awkwardly, share a link instead of the file itself:

1. Upload the PDF to Google Drive, Dropbox, OneDrive, or similar
2. Generate a shareable link
3. Send the link by WhatsApp

Most cloud services let you set link permissions (anyone with the link, specific people only). For sensitive documents, restrict permissions and consider adding a password to the PDF itself before uploading.

What about WhatsApp's image vs document distinction

If you send a PDF as a "document" attachment in WhatsApp, it preserves the file at its original quality. If you try to send pages of a PDF as images, WhatsApp compresses them aggressively and reduces quality significantly.

Always attach PDFs as documents (the paperclip icon, then Document) rather than as images. The file size is the same and the quality is preserved.

A few practical tips

For business documents you send often, keep a compressed master copy at a reasonable size (5 to 10 MB) ready to share. This avoids re compressing the same file every time.

For long term storage, keep the original full quality version. Compress copies for sending, not the original.

If you frequently send the same document to many people, upload it once to a cloud drive and share the link. WhatsApp uploads use mobile data; cloud links are typically retrieved over Wi-Fi by recipients.

What WhatsApp does to your file

When you send a PDF as a document, WhatsApp:

• Stores it on their servers temporarily during delivery
• Encrypts it in transit
• Does not compress or modify the document content

The recipient downloads the exact file you sent.

For sensitive content, this is generally safe (end to end encrypted for direct chats), but adding a PDF password adds an extra layer if the device is shared or the chat is forwarded.
